Tools & their purpose
Slack
Day-to-day conversation, quick questions, sharing links and files, celebrating wins. Not for decisions or briefing, those go in Teamwork.
Teamwork
The single source of truth for all client work. Tasks, timelines, budgets, time logs, and project comms all live here. If it is not in Teamwork, it does not exist.
Client-facing communication. Internal use is minimal, if you are emailing a colleague, it probably belongs in Slack or Teamwork. For client communications use Teamwork desk.
Weekly reports
Automated every Monday. Team report goes to the shareholders channel. Personal reports go to each team member as a DM. Mandy gets the team overview.
Meetings
Weekly marketing meeting for our internal marketing work. Monthly WiPs with retainer clients. Project kick-offs and reviews as needed. No meeting without a clear purpose and a defined duration.
Slack channel conventions
Keep channels purposeful. If a conversation needs a decision or a task, move it to Teamwork.
Channels & what they are for
#shareholders - Weekly team report and financial updates. Not for general chat, but for important feedback/updates.
#general - Company wide announcements and team news.
Project channels - Created per major project where needed - not for every job.
Direct messages - Quick questions, personal summaries, sensitive topics.
Decision making
Decisions about client work sit with the project owner. Budget decisions over a threshold go to Mandy. Creative decisions on client work are not made in Slack, they are documented in Teamwork and confirmed with the client in writing.
