How a project moves from accepted estimate through to final delivery, client sign-off, and invoicing. This applies to all project types, the stages are the same whether it is a website, a video, or a print job.
Lifecycle stages
Brief & setup
Brief confirmed, project created in Teamwork, budget set, tasks assigned, timeline agreed.
Production
Work happens. Time is logged against the correct project daily. Project owner monitors budget burn and flags if tracking over 70%.
Internal review
Work is reviewed internally before it goes to the client. We do not send first drafts without a team sense-check, both for spelling and design.
Client review round
Work is presented to client with context - not just a file dump. Client responds with consolidated feedback. This is Review Round 1. Standard scope includes two review rounds.
Revisions
Feedback is actioned. If the brief has changed or scope has grown, we flag it before proceeding - not after. Additional rounds beyond scope are quoted separately.
Final approval
Client signs off in writing. No work is finalised or published without written approval unless we have not heard from the client within 5 working days and attempts via email and phone have been made to advise them of this. Email confirmation is sufficient, or bigger projects an approval to go live form from Pandadocs.
Delivery and handover
Final files delivered in agreed format. Assets archived. Any handover notes or training completed. Project marked complete in Teamwork.
Invoice
Invoice raised and sent within two working days of project completion or milestone. Payment terms as per agreement.
Budget health thresholds
Tracked automatically in the daily team report. These are the trigger points for action.
